Position Summary

Reporting to the Director of Financial Aid & Affordability Strategy, the Assistant Director of Financial Aid plays a critical leadership role in ensuring financial access, regulatory compliance, and student success across Prep4Work’s career pathway programs.

This position oversees federal, state, employer-funded, and alternative aid models (including Pell Grants, WIOA, GI Bill, apprenticeships, employer tuition assistance, and income-aligned financing), while helping modernize financial aid operations through automation, AI tools, and data-driven decision-making.

The Assistant Director serves as both a compliance leader and an innovation driver, ensuring Prep4Work students can afford training, persist through programs, and transition successfully into employment.

Key Responsibilities

Financial Aid Administration & Compliance

  • Administer and oversee eligibility, packaging, awarding, and reconciliation of:

    • Federal Title IV aid (including Pell Grants)

    • State workforce and training grants

    • Employer-sponsored and apprenticeship-based aid

    • Institutional and alternative financing programs

  • Ensure compliance with U.S. Department of Education (DOE), state agencies, accrediting bodies, and audit requirements.

  • Oversee Return to Title IV (R2T4) calculations and timely processing.

  • Evaluate and adjudicate Satisfactory Academic Progress (SAP) appeals.

  • Support audits, program reviews, FISAP reporting, and compliance documentation.

 

Systems, Data & Technology

  • Manage and optimize financial aid systems, including:

    • ERP / SIS platforms

    • Financial aid automation tools

    • Secure data exchange systems

  • Partner with IT and Data teams to ensure data integrity, reporting accuracy, and system security.

  • Lead implementation of Prep4Work.AI financial aid advising tools, including:

    • AI-driven eligibility screening

    • Automated student communications

    • Scenario modeling for affordability planning

  • Build and maintain verification, packaging, and awarding rules.

 

Student-Centered Service & Equity

  • Counsel students and families on:

    • Financial aid options

    • Workforce-aligned affordability strategies

    • Financial literacy and debt avoidance

  • Design student communications (email, portal, AI chatbot prompts, workshops).

  • Ensure services promote equity, access, persistence, and job placement success.

  • Collaborate with Career Pathway teams to align aid with internships, apprenticeships, and employment transitions.

 

Leadership & Supervision

  • Supervise Financial Aid Specialists and support staff.

  • Recruit, train, coach, and evaluate staff performance.

  • Develop operational workflows, policies, and compliance documentation.

  • Serve as Acting Director of Financial Aid when designated.

 

Cross-Functional Collaboration

  • Partner with Admissions, Career Services, Employer Partnerships, Finance, IT, and Student Success teams.

  • Support enrollment growth, retention strategies, and employer-funded cohort models.

  • Represent Prep4Work at workforce, FAFSA, community, and employer events.

Knowledge, Skills & Abilities (KSAs)

  • Deep knowledge of Title IV regulations and financial aid compliance.

  • Strong analytical, organizational, and problem-solving skills.

  • Excellent verbal and written communication skills.

  • Ability to explain complex financial aid concepts clearly to diverse audiences.

  • Proficiency in Microsoft Excel and data analysis.

  • Demonstrated ability to lead, mentor, and train staff.

  • Ability to thrive in a fast-paced, innovation-driven regulatory environment.

Education

Experience

Preferred Qualifications

  • Bachelor’s degree in Finance, Business, Education, Counseling, Public Administration, or related field.

  • Five (5) years of progressive experience in Title IV financial aid administration, including:

    • Verification, awarding, R2T4, SAP, and compliance

  • Experience working with financial aid systems and student information systems.

  • Three (3) years of supervisory or team leadership experience.

  • Master’s degree in a related field.

  • Seven (7) years of progressive financial aid experience.

  • Experience with ERP systems (Banner or comparable).

  • Experience with:

    • Workforce development programs

    • Community colleges or public-sector education

    • WIOA, apprenticeships, or employer-funded training

  • Familiarity with reporting and analytics tools (Argos or equivalent).
